NorCal FTC Qualifying Tournament Waitlist Policy and Procedure

  1. Once an event if full, a team may request to be placed on a waitlist for that event.  This is done by sending an email to FTCWait@playingatlearning.org.  The email must include the team’s number and which event they would like to be waitlisted for.
  2. A team may not be on more than 3 waitlists at any one time. Any requests after the 3rd one will be disregarded.
  3. Once an event has passed, that waitlist “expires” and any team on that list may then request to be waitlisted at another future event.
  4. If a team accepts a waitlist spot as their 3rd play, any other waitlist spots are immediately removed.
  5. Teams are ordered on our waitlist on a first come first served priority but preference is given to teams with fewer plays. ie. teams with no event registrations will be give priority to teams that have 1 registration who will be given priority to teams that have 2 registrations.
  6. If an event has an opening, the first team on the list will be contacted and has 18 hours to respond.  The offer is then made to the next team on the list.  All teams are requested to respond as quickly as possible (for both yes and no) but no later than 18 hours.
  7. If a team declines an offer for an event they are waitlisted for, they will drop to the bottom of any further waitlists.
  8. A team may be asked to be taken off a waitlist for any event they do not want an offer from.
  9. If there are no teams on the list for a specific event or no teams on the list are able to make the event, emails will be sent to the overall waitlist in order of emails in groups of 8 with the opening offer on a first come first served basis every 18 hours or until 24 hours before the event.  Teams will not lose their place in line for declining an open offer but if they accept they will be taken off the list for their waitlisted event.
  10. Waitlisted teams who accept a spot in an event must pay the tournament fees based on which play it is for their team prior to the competition.
  11. If a team “No Shows” an event in which they were registered without notifying the Tournament Director or Playing at Learning, they will not be allowed to participate in any further waitlist opportunities.
